Volumetric Weight Explained: Why Your Courier Charge Is Higher

You pack a light parcel, weigh it at home, and see only 2 kg on the scale. At the courier counter, you are told the chargeable weight is 6 kg. It feels unfair, but there is a simple reason behind it.
This is called volumetric weight. Once you understand it, you can pack smarter and often cut your courier cost. This guide explains how it works, how to calculate it, and how to avoid paying for empty space.
What Is Volumetric Weight?
Volumetric weight (also called dimensional weight) is a weight calculated from the size of your box, not from how heavy it is.
Courier companies move parcels in vehicles, aircraft and sorting hubs where space is limited. A large, light box takes up as much room as a small, heavy one. So couriers charge for the space your parcel occupies, not just its weight.
Actual Weight vs Volumetric Weight
Actual weight is what your parcel weighs on a scale.
Volumetric weight is calculated from the box's length, width and height.
Chargeable weight is whichever of the two is higher. This is the weight you pay for.
So if your parcel is bulky but light, you will be charged on its volumetric weight.
How to Calculate Volumetric Weight
Measure the box in centimetres and use this formula:
Volumetric Weight (kg) = (Length × Width × Height in cm) ÷ 5000
Many courier companies in India use 5000 as the divisor, but some use a different number depending on the service (air, surface or international). Always confirm the divisor when you book.
Example 1: A pillow or soft toy
Box size: 50 × 40 × 30 cm
Calculation: 50 × 40 × 30 = 60,000 ÷ 5000 = 12 kg
Actual weight: 3 kg
Chargeable weight: 12 kg
Example 2: A box of books
Box size: 30 × 20 × 20 cm
Calculation: 30 × 20 × 20 = 12,000 ÷ 5000 = 2.4 kg
Actual weight: 8 kg
Chargeable weight: 8 kg (actual weight is higher)
The first parcel is light but bulky, so it costs more. The second is heavy but compact, so you pay by its real weight.
Which Items Are Most Affected?
Volumetric weight hits light but large items the hardest:
Clothes, blankets, quilts and pillows
Soft toys and cushions
Handicrafts and decorative items
Lampshades, plastic items and empty containers
Festive gift hampers packed in oversized boxes
Shoes in large cartons
7 Simple Ways to Reduce Your Courier Charges
Use the smallest box that fits safely. Even a few extra centimetres on each side can raise the charge noticeably.
Remove empty space. Fill gaps with only as much cushioning as the item needs.
Compress soft items. Vacuum bags work well for clothes, blankets and quilts.
Avoid oversized outer boxes. Don't use a big carton for a small item "just to be safe". Use proper cushioning instead.
Combine items smartly. One well-packed box can cost less than two half-empty ones. Check this before you split a shipment.
Remove unnecessary packaging. Take products out of bulky retail boxes if the contents can be safely protected another way.
Measure before you book. Check the box dimensions yourself so there are no surprises at the counter.
Note: Never cut down protection on fragile items to save money. A damaged parcel costs far more than a few extra rupees in shipping. Our guide on how to pack fragile items for courier shows how to stay safe and compact at the same time.
Why This Matters Even More During Festivals
During Navratri, Diwali, Bhai Dooj and wedding season, people send bulky parcels such as gift hampers, clothes, decorative items and sweets boxes. These are often light but oversized, so charges can jump quickly. Picking a right-sized box and packing it neatly can save money during the busiest shipping weeks.
Frequently Asked Questions
Is volumetric weight charged on all parcels?
Most courier services compare actual weight and volumetric weight on every parcel and charge the higher one. Very small parcels and documents usually fall under actual weight.
Is the formula the same for domestic and international shipping?
Not always. The divisor can differ between domestic, air, surface and international services, so ask before booking.
Can I get the volumetric weight reduced after packing?
Yes. If the box has too much empty space, repack it into a smaller box before booking. Our team at Courier Box can help you check this before you pay.
How do I know my parcel's chargeable weight in advance?
Measure the box in centimetres, apply the formula above, and compare it with the scale weight. The higher number is your chargeable weight.
