You booked your parcel, paid for it and expected it to arrive on time. Then the tracking stops updating, the delivery date passes, or the box arrives crushed. It is stressful, especially when the parcel holds a gift, an important document or products for your customers.

The good news is that most problems can be sorted out if you act quickly and in the right order. This guide explains what to do in each situation, what documents you need, and how to reduce the risk next time.

First, Keep These Things Ready

Whatever the problem, have these details at hand before you contact anyone:

  • Consignment (AWB) number from your booking receipt

  • Booking receipt or invoice

  • Sender and receiver details, including pin codes

  • Photos of the packed parcel, if you took any

  • Invoice or proof of value of the contents

Keeping these together makes every step below faster.

If Your Parcel Is Delayed

Delays happen for many reasons: bad weather, road closures (common on hill routes), festive rush, wrong or incomplete addresses, or the receiver being unavailable.

What to do:

  1. Check tracking first. Enter your consignment number on the courier's tracking page. Sometimes the parcel has already moved and the update is just late.

  2. Look at the status. "Out for delivery", "Delivery attempted" and "Address incomplete" each need a different response.

  3. Confirm the address and phone number. A wrong landmark, missing flat number or unreachable phone is the most common cause of failed delivery.

  4. Contact your booking branch. Share the consignment number and ask them to follow up with the destination hub. This is where a local franchise like Courier Box can help, as we can escalate on your behalf.

  5. Ask for a clear delivery update. Request an expected date and note down who you spoke to.

Tip: During Navratri, Diwali, Bhai Dooj and wedding season, volumes are very high. Book earlier than you think you need to.

If Your Parcel Is Damaged

What to do:

  1. Do not throw away anything. Keep the box, packing material, labels and tape exactly as they arrived.

  2. Take clear photos and a short video. Show the outer box, the damage, the label with the consignment number and the damaged item.

  3. Note the condition at delivery. If possible, mention the damage to the delivery person and record it when you receive the parcel.

  4. Report it quickly. Inform the courier or booking branch as soon as you can. Delays in reporting can weaken your claim.

  5. Share your proof. Send photos, the invoice and the receipt along with your complaint.

A hard truth: Compensation for damage often depends on how the parcel was packed and whether it was insured. Poorly packed fragile items are the most difficult to claim for. That is why packing fragile items properly matters so much.

If Your Parcel Is Lost

A parcel is usually treated as lost only after the courier has searched and failed to trace it. Each courier has its own time limit, so ask your booking branch what applies to your shipment.

What to do:

  1. Raise a complaint with the booking branch as soon as tracking has stopped for several days with no explanation.

  2. Ask for a written trace request or complaint number.

  3. Give full details of the contents and value, along with proof such as an invoice.

  4. Follow up regularly and keep a record of dates, names and responses.

  5. Ask about the claim process once the parcel is confirmed lost.

How Compensation Usually Works

Courier compensation is usually limited by the company's terms and conditions, which you accept at booking. In general:

  • Compensation may depend on the declared value and whether you took insurance (often called risk coverage).

  • Without insurance, the amount you receive may be limited to a fixed amount, which can be far below the real value of the contents.

  • Some items, such as cash, jewellery and certain prohibited goods, may be excluded entirely.

Always read the terms on your booking receipt, and ask your booking branch to explain the compensation policy before you ship valuable items.

If the Parcel Was an Online Order

If you ordered from an e-commerce seller, contact the seller or platform first. They have the contract with you and usually handle the claim with the courier. If the problem is not resolved, you can approach the National Consumer Helpline or consumer forum. Keep screenshots of your order, payment and complaints.

Common Mistakes That Weaken Your Claim

  • Booking without a proper invoice or description of contents

  • Skipping insurance on valuable items

  • Using weak, reused or undersized boxes

  • Writing an incomplete address or wrong pin code

  • Reporting damage days after delivery

  • Not taking photos before sending

How to Avoid Problems Next Time

  1. Write a complete address with landmark, pin code and a working phone number for the receiver.

  2. Pack for the journey. Use a sturdy box, proper cushioning and strong tape.

  3. Take photos of the packed parcel and the filled label.

  4. Insure valuable shipments. A small extra charge can protect you from a big loss.

  5. Book early in festive and wedding seasons.

  6. Keep your receipt safe until the parcel is delivered and checked.

  7. Inform the receiver so they are available and know what to expect.

Frequently Asked Questions

How long should I wait before complaining about a delayed parcel?

If tracking has not moved for 2 to 3 days, or the expected delivery date has passed, contact your booking branch. Early follow-up often fixes address or delivery issues quickly.

Can I claim for a damaged parcel without photos?

It is much harder. Photos of the damage and packaging are your strongest proof. Always take them before sending and after receiving.

Will I get the full value of my parcel if it is lost?

Not always. It depends on your declared value, insurance and the courier's terms. Ask about this before booking.

Who should I contact first, the courier head office or my local branch?

Start with the branch where you booked. They have your booking details and can escalate the matter faster.
